Applying for a passport is a crucial step for international travel, and it’s wise to begin the process well in advance of your planned trip. It’s generally recommended to apply several months ahead of your travel date to accommodate processing times, which can fluctuate. For the most up-to-date estimates, always refer to the State Department service estimates. While the complete passport application isn’t fully online, much of the initial process and preparation can be navigated online, streamlining your application journey. For first-time applicants, minors, or those who cannot renew their passports by mail, a visit to a passport acceptance facility like a Post Office is necessary to submit your application. The U.S. State Department’s website is your primary online resource, detailing exactly what documentation you’ll need to bring with you to your appointment.
- Application forms (unsigned)
- Proof of identity document and a photocopy of both sides
- Proof of U.S. Citizenship document and a photocopy of both sides
- Passport fees

Step 1: Online Document Gathering and Preparation
The first step in securing your passport largely begins online. Visit the U.S. Department of State’s official website. This online portal is invaluable for understanding the passport application process and identifying the necessary documents.
- Complete Form DS-11 Online: Access and complete the Form DS-11 Application for U.S. Passport directly on the State Department’s website. This online form completion ensures accuracy and reduces errors.

- Passport Photo Compliance: Understand the passport photo requirements online before getting your photo taken. Ensure your photo meets all specifications to avoid processing delays.
- Photocopy Documents: Make photocopies of your proof of identity and U.S. Citizenship documents. Check the State Department website for specific photocopy requirements.

Step 2: Schedule Your Post Office Appointment Online
Scheduling your passport application appointment at a participating Post Office is conveniently done online. Post Offices offering passport services operate during specific hours, making appointments necessary. Utilize the online Retail Customer Appointment Scheduler for a seamless booking experience.
Online Scheduling Steps:
- Access the Scheduler: Go to the Schedule an Appointment portal.
- Select Passport Service: Choose the required passport service and specify the number of adults and minors needing appointments.
- Search Options: You can search for appointments by location or date preference. If searching by location, you’ll subsequently select a date and time. Conversely, searching by date first requires you to then choose a location and time slot.

- Appointment Confirmation: Click Review Appointment, and then confirm to finalize your booking.
For modifications or cancellations, use the Manage Appointments tab, entering your confirmation number and either your email address or phone number.
Kiosk Scheduling Option:
While online scheduling is recommended, self-service kiosks at Post Office locations also offer appointment scheduling:
- Locate a Kiosk: Find a USPS location with self-service kiosks using the USPS Locations finder.
- Kiosk Interaction: At the kiosk, touch the screen, select “Other Services,” and then “Passport Scheduler.”
- Service and Applicant Number: Choose your passport service and indicate the number of adult and minor applicants.
- Location Selection: Search for Post Offices by ZIP Code™ or City/State and pick a location.
- Time Slot Selection: Choose an available appointment date and time, agreeing to the Terms and Conditions.
- Contact Details: Input your contact information and choose SMS text notifications if desired.
- Finalize Booking: Review and confirm your details, then select “Schedule Appointment.”
- Receipt Retrieval: Take the printed receipt, which contains your confirmation number and appointment details.
Step 3: Understand Passport Acceptance and Processing Fees
Passport applications involve two primary fee types: the application acceptance fee and the application processing fee. Additional costs apply for passport photos taken at the Post Office and expedited processing services. It’s important to understand how these fees are calculated and the accepted payment methods.
Application Acceptance Fees – Payable to USPS:
These fees are paid directly at the Post Office during your appointment. Accepted payment methods include checks or money orders payable to “Postmaster,” debit cards, or credit cards.
- $35.00 – Post Office acceptance fee
- $15.00 – Post Office photo fee (if needed)
Application Processing Fees – Payable to the Department of State:
Payment for the State Department’s processing fees is submitted along with your application package. These fees are separate from USPS fees and must be paid using a personal, certified, cashier’s, traveler’s check, or money order, made payable to “U.S. Department of State.”
